HubSpot for Mittelstand companies
We configure HubSpot for mid-sized B2B companies that run on an ERP: customers and contacts cleaned up and in one place, order history synced from the ERP, quotes and repeat orders as pipelines, dealers and subsidiaries connected, and the whole portal set up in German and English, hosted in HubSpot's EU data center in Germany.

Is HubSpot a good fit for Mittelstand companies?
Yes. HubSpot gives Mittelstand and mid-sized companies marketing, sales, service and quotes on one platform that a mid-sized team can run with one named owner. Its marketplace has connectors for common ERPs, Enterprise adds custom objects and multi-account management for subsidiaries, and accounts can be hosted in HubSpot's EU data center in Germany.
Many mid-sized companies we meet bought HubSpot for newsletters and trade-fair invitations, then stopped there. Sales still works from the ERP and personal lists, customers exist twice, and the portal holds marketing contacts nobody in sales looks at. A model built around the ERP's customer numbers, with sales, service and dealers on the same records, fixes all three.
Checkpoint GTM is a HubSpot Platinum Partner based in Berlin. We configure Marketing Hub, Sales Hub, Service Hub, Data Hub and Revenue Hub for Mittelstand and mid-sized companies, connect HubSpot to your ERP through marketplace connectors or Data Hub, migrate from older CRMs and spreadsheets, train your teams in German or English, and hand the portal to a named owner.
What we configure
- Companies and contacts matched to the ERP's customer numbers, plus Enterprise custom objects for installed equipment, sites or service contracts
- Deal pipelines for new business, repeat orders and dealer deals, and ticket pipelines for service requests
- Quotes on Revenue Hub with e-signature, and ERP order history synced through marketplace connectors or Data Hub
- German and English properties, pipelines and templates, partner apps for dealers, single sign-on, audit logs and Breeze agents
Typical hub mix
- Smart CRM and Sales Hub for field and inside sales, Marketing Hub for trade fairs, events, newsletters and consent-based nurture
- Service Hub for service requests and the customer portal; Revenue Hub for quotes; Data Hub for ERP sync and data quality
- Enterprise where you need custom objects, multi-account management for subsidiaries or Data Hub Enterprise warehouse connections, Professional where you do not
The HubSpot object model we build for Mittelstand companies
A Mittelstand company's customers live in the ERP first. The HubSpot model has to match those customer numbers, add what sales, service and dealers know, and stay reportable. This is where we start, adapted to your business.
- CompaniesOne record per customer, carrying the ERP customer number, with parent and child companies for customer groups and their sites, and the responsible field and inside salesperson on each account.
- Contacts and buying rolesManaging directors, purchasing, technical decision makers, users and accounts payable as labelled roles, so every quote shows who decides, who orders and who signs.
- DealsOne deal per quote, project or framework agreement, with product group, value, expected order date and source, including trade fairs, dealers and existing customers.
- Products and line itemsA product library aligned with the ERP's product groups and line items on deals, so quotes, product mix and revenue per product group come from the deal itself.
- Custom objects for installed equipment and sitesOn Enterprise, custom objects hold installed equipment, customer sites or service contracts, associated with companies, deals and tickets, so service and repeat business are planned from what the customer already has. We design them within HubSpot's custom object limits.
- Dealers, distributors and subsidiariesDealers, distributors and agents as companies or a custom partner object with regions, linked to the deals they bring, and subsidiaries as teams or linked accounts, so channel and country revenue are reported apart.
Pipelines for new business, repeat orders and dealer deals
Each sales motion gets its own pipeline, stage definitions and exit criteria, so an open quote never looks like a first conversation and a repeat order is not counted as a new customer.
New business
First contact to order for new customers and new projects, with an exit criterion that the quote value, product group and expected order date are recorded before a deal moves to negotiation.
First contact · Needs analysis · Quote sent · Negotiation · Order received
Repeat orders and framework agreements
Deals for follow-up orders, call-offs and framework agreement renewals from existing customers, owned by the account's salesperson and planned from the last order or contract date.
Order expected · Quote sent · Confirmed · Ordered
Dealer and distributor deals
Leads passed to dealers, distributors or subsidiaries, with a response deadline and the partner's progress recorded, so the channel's pipeline is visible before the order arrives.
Lead passed · Accepted · Quote by partner · Won or lost
Integrations we connect to HubSpot for Mittelstand companies
We connect the ERP and the systems around it, so HubSpot shows each customer's full history without becoming your ERP.
- ERP connectors from the marketplaceHubSpot's marketplace has an ERP category with connectors for SAP Business One, Microsoft Dynamics 365 Business Central, Sage, Odoo, weclapp, Xentral and others. We pick the connector that fits your ERP and map customers, orders and products.
- Microsoft Dynamics 365HubSpot documents its own Microsoft Dynamics 365 connection: companies to accounts, contacts to contacts and leads, deals to opportunities, plus products, invoices, orders and custom objects, with custom field mappings on Data Hub.
- Data Hub sync and warehouseData Hub syncs data between apps with custom field mappings, and on Data Hub Enterprise HubSpot connects data warehouses and storage platforms, for ERPs and in-house systems without a ready-made connector.
- Quotes on Revenue HubQuotes on Revenue Hub Professional or Enterprise build the price from the deal and your product library, with e-signature, for companies that quote from the CRM. Where quotes stay in the ERP, their status and value are written to the deal.
- Dealer and partner portalsPartner portals, deal registration and lead distribution for dealers and distributors through partner management apps from the HubSpot marketplace, which we select and implement.
- Datasets for order and pipeline reportingData Hub datasets, on Professional and Enterprise and currently in beta, combine HubSpot records with external data such as order intake from the ERP, for one report on pipeline and orders.
Security and data settings we configure
Data protection officers, IT and, where you have one, the works council will ask how the CRM handles customer and employee data. These are the HubSpot settings we put in place and document.
- EU data hosting in GermanyHubSpot hosts accounts in an EU data center in Germany, and paid accounts can change their data center. New accounts are assigned a data center by sign-up location; we confirm it at setup or plan the move for an existing portal.
- DPA and GDPR toolsHubSpot's DPA includes GDPR terms and EU Standard Contractual Clauses. We set up legal basis on contacts, consent-based limits on marketing email, permanent delete and the data request manager, which matters for trade-fair and newsletter lists.
- Clear rules for sales activity dataWe document what the CRM records about calls, emails and visits and who can see it, and keep activity reporting focused on customers and pipeline, so you can agree the setup with your works council and data protection officer where you have them.
- SSO and audit logsSingle sign-on on Professional and Enterprise, and audit logs of account activity, where Enterprise Super Admins can also see actions taken by HubSpot employees in the account.
- Subsidiaries and brandsCompanies with subsidiaries or several brands can link up to 29 additional Professional or Enterprise accounts to an Enterprise main account, or run several brands in one account with the Brands add-on on Marketing Hub Enterprise.
- Security reports for IT reviewsHubSpot has a confidential SOC 2 Type II report, a public SOC 3 report and its first SOC 1 Type II report, and carries the EU Cloud Code of Conduct Level 2 mark. We point your IT and data protection reviewers to them, next to the CRM documentation we write.
Breeze AI agents, set up for Mittelstand companies
HubSpot's Breeze agents run on HubSpot Credits. We set up the ones that save a mid-sized team real time and point them at clean customer data.
- Customer agentAnswers routine questions about products, delivery and service from customers and dealers, on Professional and Enterprise, with credits consumed only when it delivers a resolution. Technical and pricing questions go to your team.
- Prospecting agentResearches target accounts showing intent and drafts outreach from CRM, conversation and intent data, in the contact's preferred language, so field and inside sales start from a brief.
- Data agentFills properties such as industry, company size, locations or technology in use from web research, company websites and call transcripts, through smart properties and workflow actions, which helps clean up years of customer data.
- Agent builderCustom agents for your own processes, for example a visit brief with order history before a customer meeting, or a follow-up draft after a trade fair, built with actions that browse the web and read and write CRM records.
Moving a Mittelstand company into HubSpot
From spreadsheets, email folders and personal address books, an older CRM, or a HubSpot portal that only marketing uses. Our migrations follow four steps.
Map the model
Inventory every list, system and field, agree the ERP customer number as the key, and decide how customers, sites, dealers and subsidiaries map to companies, deals and custom objects before a record moves.
Clean and consolidate
Merge customers that exist in several lists, match them to the ERP, collect contacts from salespeople's personal lists, and record the legal basis for every contact you keep.
Move and test
Move the data with imports or HubSpot Smart Transfer, connect the ERP, and run a dry run with real customers, quotes and orders before cut-over.
Train and hand over
Field sales, inside sales, service and dealers are trained in their language and switch on a fixed date, dashboards go live, and a trained owner on your side takes over the portal and its documentation.

Questions about HubSpot for Mittelstand companies
Is HubSpot a good fit for Mittelstand companies?
Yes. HubSpot runs marketing, sales, service and quotes for Mittelstand and mid-sized companies on one platform that a mid-sized team can own with one named owner. Its marketplace has connectors for common ERPs, Enterprise adds custom objects for installed equipment or sites and multi-account management for subsidiaries, and accounts can be hosted in HubSpot's EU data center in Germany.
HubSpot vs Salesforce for Mittelstand companies?
Both run Mittelstand sales teams well, and we implement both. HubSpot is usually faster to launch and easier for a mid-sized team to adopt and own, with marketing, sales, service and quotes on one platform, ERP connectors in its marketplace and Breeze agents built in. Salesforce suits companies with deep enterprise customisation and an in-house admin team. Where a parent company runs Salesforce, HubSpot's Salesforce integration keeps both in sync.
Can HubSpot connect to our ERP?
Yes. HubSpot's marketplace has an ERP category with connectors for SAP Business One, Microsoft Dynamics 365 Business Central, Sage, Odoo, weclapp, Xentral and others, and HubSpot documents its own Microsoft Dynamics 365 connection. For other ERPs we use Data Hub or your warehouse. We usually sync customers, orders and revenue into HubSpot and keep the ERP as the system for prices and invoices.
Can we run HubSpot in German?
Yes, the way we set it up. Properties, pipelines, stages, email templates and reports can be named in German for the teams that work in German, with English where international teams or subsidiaries need it. We train users and write documentation in German, English or both.
Which HubSpot tier does a Mittelstand company need?
Professional often covers mid-sized companies with one sales organisation, and includes single sign-on and the customer agent; quotes need Revenue Hub Professional or Enterprise. Enterprise makes sense when you want custom objects for installed equipment or sites, multi-account management for subsidiaries or a data warehouse connection (Data Hub Enterprise). We size the hub and seat mix to your process, not the other way round.
How do you handle data protection and the works council?
We set up legal basis on contacts, consent-based limits on marketing email, permanent delete and the data request manager, confirm the account's data center at setup or plan the move to HubSpot's EU data center in Germany, and document what the CRM records about sales activity and who can see it, so your data protection officer and works council can review the setup before rollout.
How long does a HubSpot implementation for a Mittelstand company take?
A standard HubSpot build takes 6 to 10 weeks and a complex multi-hub build 12 to 16 weeks, depending mainly on the ERP connection and the state of your customer data. Migrations from another CRM start from €15K, and work usually starts within two weeks of the first call.
Can dealers and distributors work in HubSpot?
Yes, through partner management apps from the HubSpot marketplace, which add partner portals, deal registration and lead distribution. Dealers and distributors are recorded as partners with their regions, every lead passed to them has a response deadline, and channel pipeline and revenue are reported per partner.
The revenue model behind the portal
